Privacy Policy

Last updated: June 2024

At Clayshoot, we take your privacy seriously. This policy explains what data we collect, why we collect it, and how we protect it.

1. Data we collect

We collect information necessary to run clay pigeon shooting events and maintain club records:

  • Account Information: Name, email address, and encrypted passwords for club administrators and shooters.
  • Event Data: Shoot scores, squad assignments, and classification details (e.g., CPSA numbers).
  • Media: Photos uploaded to shoot galleries by photographers or organizers.
  • Environment: Weather data (retrieved from Open-Meteo) associated with shoot dates for historical records.

2. Lawful basis for processing

We process your data based on Contractual Necessity (to provide the service you signed up for) and Legitimate Interests (to ensure fair competition and maintain historical sports records).

3. Third-party processors

We use a limited number of trusted third parties to provide our service:

  • Supabase: Database hosting and authentication (EU-West-2 / London).
  • Stripe: Payment processing and billing.
  • Cloudinary: Image storage and optimization for photo galleries.
  • Open-Meteo: Weather data for shoot conditions.

4. Data retention

We retain shoot results and historical data indefinitely to provide clubs with a complete archive of their events, unless a deletion request is made. Account data is retained as long as the account remains active.

5. Your rights

Under GDPR, you have the following rights regarding your personal data:

  • The right to access and export your data.
  • The right to rectify inaccurate information.
  • The right to request deletion ("the right to be forgotten").
  • The right to object to processing.

Club administrators can use the self-serve export tools in the admin dashboard to retrieve their club's data at any time.
